Info: This article applies to a dataset that is Live and details how to request the retirement of the active dataset and removal from geospatial data services.
Time: The Proposed retirement date for your dataset must be at least two weeks from submitting your application for review. This allows sufficient time for customers to be notified of the removal and any feedback to be provided on the impact of removal. If you are removing multiple datasets or all of your datasets then more time will be required.
How to retire a dataset
- Navigate to the dataset in DUT.
- This can be done from the Active datasets page and clicking the “Retire” button:
- or by Searching for the dataset and clicking "Apply to retire this dataset:

- Enter the information required for retirement, including:
- the proposed retirement date. The proposed date must be at least two weeks away
- the reason why it is being retired and if the dataset is being replaced the name of the dataset it is being replaced by (this will be communicated to the data community),
- indicate if this dataset is being replaced by, or merged with another dataset
- Click Save or your entered information will be lost:
- Move to the Review tab and click Submit Application
Important: Proposed Retirement Date field should display a drop-down calendar, this function is not supported by Internet Explorer and we recommend that you use Google Chrome
Info: The retirement request will now go through a similar process to the one when you originally registered your dataset. It will be reviewed, approved, and a date to make the change will be scheduled.
You’ll receive two notifications as your change works through this process:
- The first will confirm that the retirement application has been submitted.
- The second notification will be sent once the dataset has been retired.
Note: Formal notification of the retirement date will be communication via Status Page
Note: Datasets that are progressing through the retirement process will show in the Active datasets list until the final step and the application work flow is showing "Retired".
Your metadata record
In most cases, it’s a good idea to maintain an archived record of the dataset on the data.wa.gov.au data catalogue. It functions as an important historical record of its existence and contributes to maintaining the institutional knowledge of government.
As part of retiring a dataset, you should update your metadata record so that:
- The description clearly states that it is retired, why it was retired, and when. If it has been superseded, you should also provide a link to the dataset that replaced it.
- The “Update frequency” is changed to “Once off snapshot”.
- If your dataset was public, you should also attach an archived copy of your dataset directly in the data catalogue (in the same way that you added your data dictionary or other resources).
- Once completed, navigate to the “Review” tab and click the “Submit Application” button.
